Susan Hochstetter, Chair, and Deb Andstrom, Librarian. The meeting was called to order at 4 p.m. The minutes were approved as submitted with the addition of a digit added to the date for our meetings in the new year, ie 2015 instead of 201. As our new desk computer and software upgrade are being installed, Anne suggested moving the old desk machine upstairs. The techie who is doing the install will dispose of the old public computer. The board agreed. Sonja gave the assistant librarian s report: she has written the annual letter to Mr. Nelson, who funds the Jane Oliver Nelson Fund for large print books, telling him about this year s selections. Sonja asked why Larry Goodheart s name and books were not listed on the website. Janice said that they were now listed on the town site. The library s own machines are a different matter and his name will need to be entered there. Sue observed that there were other local authors missing. Janice suggested making a list, and she will endeavor to get them up on the town site. Deb gave the librarian s report. We had 173 adult visitors and 6 children. 166 books were checked out, along with 49 DVDs, 19 audio books. We had 72 ILL requests and 6 new library cards. Our report to the state is complete and was forwarded on time ( Nov 14). For the open house on Dec 14, Deb is hoping to have some music provided by Parish Hill students. This is not completely certain but there is the possibility of some vocal and instrumental music. The kindergarten class is coming next week and Deb would like to get a story hour going for pre-K children. She hopes to do a survey at the elementary school to judge interest in such programs. Sue asked about a Movement and Music group. Deb has done these and has some simple percussion instruments. There is also the possibility of a knitting group. Margaret is interested and Sonja said she knew a couple of people would be possibilities. Finally, Deb suggested some sort of sign in sheet for the open house in order to gauge public interest and to get suggestions for improvements, etc at the library. The board thought this a good idea and Deb will do up a sheet. Moving on to other items on the agenda, Sue noted that the gutters have been cleaned, so they can come off the maintenance list. Anne said that she and Lee planned to move the AC s out of the office upstairs and move the desk in. In Luciann s absence, the board looked over the treasurer s report but tabled the report as there were a couple of questions to be gone over with Luciann. Anne said that Luciann is free during the week between Christmas and New Years and that might be a good time for the annual budget meeting. The best day looks to be Dec 29. Anne will check with Luciann. Sue then asked for a review of the Book & Bake Sale with the idea of coming up with improvements for next year. Better signage was one suggestion. The other was that Lee be on hand to sort books for the sale. They are sorted neatly at the library, but easily get out of category on the display tables. Lee suggested putting slips with title and price in the oversized and more expensive books. This prevents damage to the dust jackets from price stickers and enables the library to know what books proved popular. The board thought this a good idea. Returning to maintenance, Sue said she had not yet made contact with Paul Wakely about the draft through our heater in the work room. Anne said that Mike Chapel will put up a new rail on the front parking lot stairs but has not yet done so. Lee suggested and inner glass door to prevent the radiational cooling & drafts from the unheated rear entryway. There was some concern that this might complicate handicapped access. Sue said that there was a to do/ suggestions list in the back room and anyone was welcome to post suggestions. The board tabled a discussion of overdue book policies until the next meeting. The duties and contributions for the upcoming open house, including food, drinks, tableware and utensils was finalized. We will meet on the day at 10:30 for set up. Anne reported that we are now set to get a new credit card with First Niagara. It will be Fletcher Memorial Library s card and Lee will be listed as the primary purchaser with the bank, but the library, not Lee will be the guarantor. The credit limit will be $1000. A possible increase in the DVD/Audio books line was tabled until the budget meeting, as was the need for a front door bell. There was also mention of getting another couple of telephone handsets but this was not decided. We are to get a sign for the library and we are hoping we can order ours when the town orders its new welcome to Hampton street signs. Anne drew a sketch of an oval sign supported by two simple pillars. The sign will be white with black lettering in the same font as the town signs will use. She also suggested a larger OPEN sign that could hang from a flag pole on one of the porch pillars. Sue will check on size regulations with Planning & Zoning. Finally, Sue pointed out that we are nearing the end of our last set of five year plans. There are important to the Selectmen for their budget and she asked the board to consider what should be included. One of the big items will obviously be the repair of the front porch and its granite steps. Janice will scan the last five year plan sheet and send it out with the minutes. She will also send thank you notes to Angelika Hanson, Marge Trowbridge, and Tom Curry for the holiday decor and wreaths. The meeting was adjourned at 5: 05 pm.
